Ingest

Transactions flow from your POS, bank feeds and payroll into QuickBooks on a schedule — Toast or Square API, a transformation script, then QBO. I write the glue myself rather than reselling somebody's connector.

02 — Automatic

Categorize

An ML categorization layer — QBO's own engine plus rules tuned per client — auto-codes about 95% of transactions. Nobody keys in receipts, so nobody bills you for keying in receipts.

03 — Reviewed

Flag

An anomaly pass surfaces the outliers: duplicate payments, a vendor charging 30% more than usual, margin drift on a product line, a Benford-style screen on expense entries. I review exceptions instead of everything.

04 — Weekly

Forecast & report

A time-series model on your own history drives the rolling 13-week cash forecast, and the Monday flash report goes out — prime cost, job margin, or MRR, depending on what you do.
